When you enter someone who has already travelled with your agency, Tripwise recognises them by their document and brings their details in. And if something doesn't match, it warns you before saving instead of leaving you a duplicate.

As soon as you type the document type and number on a booking, Tripwise looks that person up in the agency's database. If they already exist it fills in the remaining fields from their profile and links the booking to that record. Nobody has to search first or remember that they had travelled before.

When it isn't sure, it asks
If the document matches nobody but the first name, surname and date of birth do, it doesn't decide on its own: it shows the match along with the document that person has on record and lets you choose between linking to the existing record or creating a new one. The call stays with the seller.

On an already linked record, Tripwise compares what you are typing against the original profile and tells you exactly what changed: first name, surname, date of birth, document type or number. You can fix the mistake, unlink because it really is a different person, or keep the different value on this booking only. Until you decide, it won't save.

Each booking keeps the details as they were
On save, the booking keeps its own copy of the passenger's details. Fixing a misspelled surname today corrects the master record and every booking from here on, but it does not rewrite a booking from last year or the document backing it.

Documents with expiry dates, and warnings ahead of time
Each passenger can hold an ID card, passport, visa and tax ID, each with its number and expiry date. The record flags whichever is expired or expiring, and if that person has a trip ahead the seller gets a push and email warning sixty, thirty, fifteen and seven days before.

What we get asked most about the passenger database.
It is a master passenger database, not a marketing CRM. It exists so you never re-enter the details of someone who already travelled, so their documents live in one place, and so the same person doesn't end up duplicated across five different bookings. What it does not have is campaigns, segments, tags, mailing lists, birthday reminders, a loyalty scheme or a sales pipeline.
Prevention happens at entry: Tripwise recognises the document and flags it when the name and date of birth match someone who already exists. But if two records of the same person did end up created, there is currently no merge function: you either work them separately or delete the spare one.
No. Each booking keeps its own copy of the passenger's details exactly as they were when it was created. Fixing a misspelled surname today updates the master record and everything from here on, but it does not rewrite what was already documented on an earlier booking.
No. There is no spreadsheet or CSV import: the database is built by entering passengers by hand or letting them be created as you build bookings, which is what happens in practice. There is no export of the passenger list to Excel or CSV either.
No. There is no passenger portal and no client login: Tripwise is an internal tool for the agency. What you can do is email a passenger their own record from the passenger screen, with their details and the list of their documents, to whatever address you specify.
